01 The challenge
Agencies run client work across a scattering of tools: a project board in one place, files in another, approvals buried in email, invoices somewhere else entirely. The client has nowhere single to look, and the agency spends its week reassembling status by hand. Stacklumen was living that problem across forty-plus accounts. The portals already on the market split two ways — either project management software with a client login bolted on, or a clean shell with no CRM, no billing and no real file handling underneath it.
02 The solution
Hublumen was built as one workspace with two doors. The agency side carries projects with milestone tracking, versioned files with per-client permissions and download tracking, tasks in Kanban, list or calendar view, project-threaded messaging, in-context approvals, brand asset management, native Stripe invoicing and support ticketing — plus a full CRM for contacts, companies, deals and quotes. The client side sees only their own workspace.
An AI assistant sits across both and is grounded strictly in that workspace's data. It answers with citations, drafts the weekly client update in the agency's own voice, flags scope creep and unbilled hours, tracks file versions and summarises long threads. It never trains on conversations, and it cannot see outside the workspace it belongs to.
03 The results
Hublumen is live at hublumen.com with the CRM, AI assistant, dashboard, documentation and pricing all shipped, and Zapier and Notion integrations next on the public roadmap. Three plans — Basic at $49 a month, Professional at $149 with unlimited clients and API access, and a custom Enterprise tier with white-labelling and SSO-grade access — each opening on a three-day trial with no card up front.
